This privacy statement provides information about the practices that Provad Oy (hereinafter referred to as ”we”) applies to ensuring privacy protection. We represent Provad Oy, registered in Finland under the business ID 1856723-2. The address of the company’s registered domicile is Itsehallintokuja 6, 02600 Espoo.
Your privacy is important to us, and we are committed to protecting it. In the following, we present the principles according to which we process the information that we gather when you visit our website or otherwise contact us.
In connection of the application of the General Data Protection Regulation (hereinafter referred to as “GDPR”) this privacy statement shall replace our previous privacy policies.
In accordance with the GDPR we want to inform the users of our website and our current/prospect customers (hereinafter together referred to as ”customers”) about our gathering and processing personal data in a form that is transparent, easily accessible and easy to understand and written in clear and plain language.

Our personal data registers
We process personal data of our customers for different purposes and thus partly in different registers.
Purpose and legal basis for processing of personal data
We process personal data under this privacy statement primarily for the customer care, but also for reporting/ statistical reporting/developing, as well as for informing about our products and services and for marketing them. Therefore, we process personal data under the following legal bases: performance of a contract, compliance with legal obligations, legitimate interest and consent.
To summarize, our legitimate interest concerns specifically promotion of awareness about our products and services, development of our functions, achievement of upsells, as well as maintain of functional cooperation networks.
According to above mentioned legal bases we use the information that we gather on our website:
- to ensure that the content on our website is presented to you and on your device in the most effective way
- to offer you information, products, and services that you have ordered from us (or from third parties, depending on the situation)
- to fulfill our obligations in accordance with the agreements between us
- to allow you to access the interactive functions of our service, if you wish

How do we gather information about you?
(a) Information that you directly provide to us
We gather and process information about you when you provide such information to us by filling out forms on our website or by otherwise contacting us or when it is necessary for the performance of a contract. The information provided by you includes data that you give us when you fill out a contact request, when you order services such as newsletters, and when you add your own content to our website, such as commenting on articles. The registers contain, among others, information falling into the following categories: basic information such as name, contact information, e-mail address, and company information; and information related to the service itself, such as information about your areas of interests, your user ID and password, and permission or denial by you to send you direct marketing material.
(b) Information gathered through cookies
To ensure for example that our information is accurate and up to date, we may also use information gathered from public sources. In marketing we cooperate with our trustworthy partners, who may provide us with information.
Transferring information about you over the Internet
Unfortunately, transferring data over the Internet is not entirely safe. Therefore, you are responsible for the data transfer operations that you undertake to carry out.

To whom do we disclose information about you?
In accordance with this privacy statement and within the framework of current legislation we may disclose information about you to Provad Oy group companies around the world, as well as to service providers (e.g. HubSpot) that are engaged in cooperation with us as third parties. We ensure with our partners that they share our vision regarding this privacy practice and undertake to comply with similar kind of privacy practices as we apply.
Our marketing principles
Please notice, that our products and services are for business and professional purposes. Consequently, when you leave us your contact details or, for example, download material from our website, you understand that we may contact you afterwards to tell more about the benefits of our products and services to your organization / company.
Storing of personal data
We process personal data in relation to its applicable purpose and as long as the purpose requires. We would like to remind you that, for example, obligations legally binding on us may require that personal data remains stored even after the termination of contractual relationship between us. In addition, it should be noted that we may, if necessary, store personal data which is relevant for statistics in form in which customers cannot be identified directly or indirectly.
Rights of the data subject
You have the right:
of access to your personal data
- by contacting us you may revise the information about you that we have gathered;
to rectification of inaccurate information
- although we aim to have comprehensive and up-to-date information, you may contact us and request for rectification of inaccurate information;
to erasure of information
- if the information is no longer necessary in relation to the purposes for which they were collected, or you have for example withdrawn your consent for certain process, we will erase your information. You are also entitled to demand such erasure;
to restriction of processing
- by contacting us you may for example restrict your previously given consent;
- We have created mechanisms which allow our customers to object the processing of their personal data and we remind them about this possibility for example in our newsletters
- Insofar as the processing has based on your consent, you are always entitled to withdraw it;
to information portability
- if you need your l information in other system than ours, you may contact us, and we aim to disclose the information to you in a form in which it is suitable to transmit to another system.
We aim to act e.g. according to the GDPR, but if necessary you may contact out data protection contact person or submit a complaint to authority.
While gathering information, we aim to inform, which pieces of information are compulsory, and which are voluntary. In principle, information listed above is necessary for providing the services (and thus e.g. complying with legal/contractual obligations).
We use your personal data also to assure the quality of our automatic functions (e.g. targeted communication). However, we do not make individual decisions based on your personal data.
